Applications Management - Execution Approach

Application Management is defined using a three phased approach:

Startup phase

  • Transition phase
  • Steady state
  • Startup Phase

Staffing & Vision Alignment

The Account Manager and the Onsite Coordinator will initiate the engagement onsite. While the account manager is the primary contact person and is responsible for addressing the business needs for that customer, the onsite coordinator will be the primary enabler for the application. Based on the quantum of current work and expected future growth, the Onsite Coordinator will also mobilize the project team.

Current Application Status

The Onsite Coordinator in consultation with the customer will constitute a Steering committee consisting of members from the customer support team and the onsite team.

The Onsite Coordinator aided by the Steering Committee will start the Engagement with a focus on the current support structure of the customer including details of the following:

  • Customer's Current Satisfaction Levels
  • The maturity of the application to be outsourced
  • Work practices being followed at the customer site
  • Technical Infrastructure supporting the current application
Knowledge Assimilation

This phase involves understanding the current application - functionally as well as the technology.

Application Overview

This will be done using the available documentation and would also involve preparing documentation where required. This would form the knowledge repository for the application.

In addition to documentation as a separate activity, at the time of execution, the onsite team will verify it with the documents available.

Design

The onsite team will understand the design of the system using the documents available and through effective discussions with the support team. Where documents exist, they will be updated for completeness and correctness. If no documents exist, the onsite team will document the design with the necessary Data Flow diagrams [DFD], Functional Decomposition Diagrams [FDD] and the Entity Relationship Diagrams [ERD].

Final Documentation The following documents need to be prepared for the purpose of transition Application overview Technical Overview Transition Knowledge Dissemination The Onsite Coordinator and Solution Architect will brief the offshore team on the details of the engagement. The training will be conducted on the basis of the documents prepared and their application knowledge. To ensure that the process has been effective, the onsite coordinator conducts continuous evaluations using mechanisms like Quiz, Presentations and Servicing of existing requests. The team is certified as ready to service the requests based on the performance in these evaluations. Infrastructure Verification The Onsite Coordinator will perform an audit of the offshore infrastructure. The main parameters for this audit are: Hardware Network OS Development Environment Inadequacies will be highlighted and escalated to the Business unit head. Offshore readiness to take over development would be decided on the basis of the knowledge gain performance and the infrastructure audit results. Steady State Knowledge Database building Details of functionality as well as design would undergo changes based on the modifications and enhancements being carried out. During the development, the knowledge repository documents are accordingly continuously updated by the team. This ensures a complete and correct impact analysis for future developments. Additionally, the development also continues to be a smooth process.
